A khata app that truly works offline saves every entry on your phone first, lets you use all its main features with no internet, and syncs to the cloud afterwards, without charging a subscription for any of it. In Pakistan, where power cuts and weak mobile signals are routine, that is not a bonus. It is the difference between recording every sale and forgetting the ones made during an outage. This guide explains what to check, and how to prove it in five minutes.
Why offline matters for a Pakistani shop
Busy times, such as evenings, Eid shopping and month-end, often coincide with load-shedding and congested networks. An app that waits for the internet before it saves will cost you entries. When entries are missed, balances are wrong, and a wrong balance is how disputes start.
What “offline” should really mean
- The entry is saved on the phone immediately. You see it in the list at once.
- Balances update locally. You do not wait for a server to tell you what the balance is.
- Nothing important is greyed out. Customers, Cash Book and expenses all work.
- Sync happens by itself when the connection returns, without you re-entering anything.
- Attachments wait. Photos and voice notes save with the entry and upload later.
In Munshi a small notice at the top tells you when you are offline and that entries will sync automatically.
“Without a subscription”: what to look for
Some apps are free to download, then ask for money to use offline mode, more than one phone, backups or reports. Ask these before you rely on any app:
- Does offline use cost extra?
- Is using the app on more than one phone included?
- Is backup included, and where does it go?
- Are reports free, and for which dates?
- How does the app earn money, if you are not paying?
Munshi’s answers: offline, many phones, Google Drive backup and reminders are free. PDFs for this month and last month are free; longer dates and Excel files open after a short ad you choose to watch. A few small ads pay for the servers, never while you add an entry, sign in or send a reminder. See why Munshi is free.
A 5-minute offline test you can do today
- Sign in while online so your account and customers are set up.
- Turn on airplane mode. Switch off mobile data and Wi-Fi.
- Record real entries. Add a customer, tap You gave and You got, and add a Cash Book entry.
- Close the app completely and reopen it. Every entry and balance should still be there.
- Reconnect. The offline notice goes away as the entries sync.
Run the same test on any app you are considering. If it fails any step, you have learned something important for free.
What offline cannot do
Being honest: a few things need a connection. Signing in the first time needs it, as does connecting Google Drive, and a Drive backup cannot run without internet. If you use Munshi on two phones, entries from one reach the other once both have synced. Everything else, the daily work of recording and checking, works without a signal.
Keep your records safe while offline
Because offline entries live on the phone until they sync, backups matter. Munshi saves a copy on the phone once a day, and you can add a copy in your own Google Drive. Steps are in how to back up business records on Google Drive. For a wider checklist, read the best free khata app in Pakistan: what to look for.
