How to ask for your money back without losing the customer

Five habits that make payment reminders feel like service, not pressure.

Asking someone for money you’re owed is awkward. Wait too long and it becomes more awkward. Ask too bluntly and you risk losing a customer who has bought from you for years.

The shopkeepers who get paid on time rarely have thicker skin. They have better habits. Here are five that work.

1. Agree the date at the time of the sale

The easiest reminder is the one the customer already expects. When you give credit, say the date out loud: “Theek hai, Thursday tak?” Then record that date next to the entry. In Munshi, the collection date is part of the customer’s page, so it’s there when you need it.

2. Remind a day before, not a week after

A message the day before sounds like service. A message a week late sounds like an accusation. If you can, send the first reminder just before the date you agreed.

3. Use WhatsApp, and write like a person

Most customers read WhatsApp within the hour. A short message with the amount and a friendly line works better than a long one:

Assalam o Alaikum Ali bhai, aap ke Rs 3,500 baqi hain. Jab suvidha ho bhej dijiye. Shukriya!

Munshi opens WhatsApp with a message like this already written. You read it, change a word if you like, and press Send yourself. Nothing is ever sent automatically.

4. Include the amount, never the lecture

State the amount clearly and stop. Skip the history of every past delay. If the customer wants a statement, send one: a PDF with a running balance settles most “mujhe yaad nahi” conversations without an argument.

5. Chase in batches, once a week

Reminding customers one by one, whenever you remember, is tiring and inconsistent. Pick one day a week, open your list of people who owe you, and work through it. If several customers will pay on the same day, set one collection date for all of them at once.

One last thing: say thank you

When the payment arrives, record it straight away and say thanks. It takes ten seconds and it’s the reason the next conversation will be easy.

Frequently asked questions

When should I remind a customer about payment?

The day before the agreed date is best. It sounds like service rather than pressure.

Is WhatsApp a good way to send payment reminders?

Yes. Most customers read WhatsApp quickly, and a short message with the amount and a friendly line works better than a call.

Does Munshi send reminders automatically?

No. Munshi opens WhatsApp with a message ready; you read it and press Send yourself.
