You can switch to Munshi without retyping your khata: import a DigiKhata PDF report or customers list directly, or import an Excel or CSV export from any app. If your old app has no export, add each customer with today’s balance and keep the old app as a reference. We make Munshi, so this guide is written by the maker; it describes Munshi’s import, and makes no claims about other apps beyond what you can check yourself.

Before you start

  • Update your old app and make sure today’s entries are in it.
  • Write down the two totals it shows: what customers owe you and what you owe. You will compare these after importing.
  • Install Munshi and create your business (or choose to import into a new business).

Route 1: from DigiKhata (PDF)

Munshi reads DigiKhata’s PDF reports. Two kinds work:

  • Customers list PDF: every customer with what they owe. Fastest way to bring balances.
  • Statement PDF: every entry with its date, so your history comes too.

Share or save the PDF on your phone, then in Munshi choose import and pick the file. Munshi asks which business it should go into, fills in the business name from the report, and keeps Urdu names exactly as written.

Route 2: from any app (Excel or CSV)

If your current app, including Easy Khata or a spreadsheet you keep yourself, can export customers to Excel or CSV, Munshi imports that file: name, phone and balance. A step-by-step guide with the column layout is in how to import customers from Excel or CSV.

Route 3: no export available

Some apps do not export. Then:

  1. Open the old app’s customer list sorted by balance.
  2. In Munshi, add each customer with their current balance as the opening amount. The first-entry screen takes three at a time; afterwards use Add customer.
  3. Start with the customers who owe the most. Small, settled accounts can wait or be skipped.

Your history stays in the old app. Munshi starts from today’s balances, which is all you need to collect.

Check the preview, then compare totals

Every import shows a preview first: names, numbers and balances. Look for missing names, doubled names, and signs that are the wrong way round (a customer who owes you showing as someone you owe). After adding, compare Munshi’s You will get and You will give on Home with the totals you wrote down. If they match, the move is done.

If something is wrong, Undo removes everything that import added, and you can try again. Nothing else in your khata changes.

Run both for a week

Add new entries in Munshi only, but keep the old app installed for a week so you can check an old entry if a customer asks. After a week, export a final PDF from the old app and keep it as an archive.

After the move

  • Save customers’ phone numbers so reminders reach WhatsApp directly. Munshi can match names with your phone’s contacts.
  • Turn on Google Drive backup.
  • Try Today’s closing at the end of the first day.

What is different in Munshi

Munshi is free with ads, with no subscription for offline use, backup, several businesses or several phones. It does not track stock or take payments. Compare honestly: Munshi vs Easy Khata and Munshi vs DigiKhata.

A worked example

A wholesaler with 140 customers in DigiKhata wants to move. He downloads the customers list PDF from DigiKhata and shares it to Munshi’s import. Munshi shows 140 names with balances; the preview shows 3 names twice because of spelling differences, so he fixes those after importing. He compares totals: DigiKhata shows Rs 18,42,000 to get, Munshi shows the same. For his 10 biggest customers he also imports their statement PDFs so the full history is there for disputes. For a week he keeps DigiKhata installed but adds new entries only in Munshi. Then he exports one final PDF from DigiKhata as an archive.

Common problems and fixes

  • Signs reversed. If customers who owe you show as people you owe, Undo the import and check the file’s balance column before trying again.
  • Missing phone numbers. After importing, use the contacts match to find numbers for customers with the same names in your phone.
  • Suppliers mixed with customers. Check the preview; suppliers can be imported separately or added by hand.
  • Old settled customers. You can leave zero-balance customers out to keep the list short.

Moving staff to the new app

Sign in on each worker’s phone with the same account. Show them the two buttons, You gave and You got, and the one-press switch if they press the wrong one. Most staff are comfortable within a day.

When not to switch

If you depend on stock tracking, invoices or in-app payments from your current app, Munshi does not have them. Switching is for shops that mainly need a clear, free credit ledger with cash book, bank and expenses.

Checklist for moving day

  1. Write down both totals from the old app.
  2. Export the customers list (PDF, Excel or CSV).
  3. Import into Munshi and check the preview.
  4. Compare totals; Undo and retry if they differ.
  5. Import statement PDFs for your biggest customers if you want their history.
  6. Turn on Google Drive backup.
  7. Sign in on staff phones.
  8. Keep the old app for one week, then archive a final PDF.

Frequently asked questions

Can Munshi import from DigiKhata?

Yes. Munshi reads DigiKhata’s PDF reports, including the customers list and statements with every entry and its date. Urdu names come in as written.

Can Munshi import from Easy Khata?

If you can export your customers as Excel or CSV, or as a PDF in a supported format, Munshi imports it. If not, add each customer with their current balance.

Will I lose my history?

With a DigiKhata statement PDF, entries come in with their dates. With a balances-only list, the history stays in your old app; Munshi starts from today’s balances.

What if the import goes wrong?

Undo removes everything that import added. Nothing else in your khata changes.

Does importing cost money?

No. Import is free in Munshi.

Can I import into a new business instead of my current one?

Yes. When you import, Munshi asks where the customers should go: one of your existing businesses or a new one. A DigiKhata PDF fills in the business name for you. This keeps an imported khata separate until you have checked it, and you can still Undo the whole import later.
