Udhaar and khata guide
A khata is the record of who owes you and whom you owe. These guides explain how to keep one that balances, how much credit to give, how to fix mistakes and how to move from paper to a phone.

Honest comparisons between Munshi and other khata apps, written by the maker of Munshi and marked as such. Each one says where the other app is the better choice.
Simple bookkeeping for a small shop: a daily cash record, the day’s closing, expenses, bank and wallet payments, profit and loss, and zakat. Plain words, no accounting degree needed.
How different businesses keep their khata: kiryana stores, pharmacies, wholesalers, mobile shops, tailors and freelancers. Each guide uses that trade’s real credit patterns.
Guides for Pakistani and South Asian businesses outside Pakistan: the UAE, Saudi Arabia, the UK, the USA, India and Bangladesh. Munshi keeps each business in its own currency.
Step-by-step guides to Munshi itself: getting started, reminders, statements, backup and restore, import, several businesses and sign-in.
Munshi 1.0.17 is the biggest update since launch: a sample khata to try first, faster entries with Hazar and Lakh keys, a daily closing screen, Committees (BC), reminders to many customers, and search that understands Roman Urdu. Everything you already had is still there.
Munshi is a good fit for a UK small business that gives customers credit and wants a free, offline record in Urdu or English, with amounts shown in GBP. It is not a good fit if you need VAT, invoicing, payroll or anything HMRC-recognised. Used beside accounting software or an accountant, it covers the informal credit and cash that tax software misses.
Munshi is a free khata app. You add customers, tap You gave when goods leave on credit and You got when they pay, and each person’s running balance updates at once. It also keeps a Cash Book, a Bank book and expenses, works offline, makes Urdu or English statements, and opens WhatsApp reminders for you to send.
Between 16 and 25 October 2026 Munshi added customer import, backup restore, a Personal khata, passkey and PIN sign-in, a one-tap Correct for balances that drift, and a faster first-run. Here is each change and where to find it.
If a balance does not agree with the entries under it, Munshi says so on that account and on Home. Tap Correct, check the Now and After figures, and confirm. No entry is changed or deleted.
Tap your business name on Home, then Add Personal. Money you lend or borrow yourself is kept apart from every business, and the same person can appear in both without the two mixing.
After signing in once, set a 6-digit sign-in PIN or create a passkey. On a new phone you can then sign in with your fingerprint, face or PIN instead of waiting for an SMS code. The SMS code stays available.
Run a shop and a side business, or two branches, from one phone without mixing their customers or money.
Go to Settings → Backup & restore → Restore a backup, choose a backup from this phone, your Google Drive or a file, and confirm. It comes back as a new business and your current businesses stay as they are.
Put a column of names and a column of balances in an Excel or CSV file, open Accounts, tap the import button, check the preview and import. Undo removes everything the import added.
A shop and a side business shouldn’t share one khata. Now they don’t have to.
An honest look at Munshi from the people who make it: the strengths, the real limits, and whether it fits your shop.
Offline use, many phones and Drive backup cost money to run. Here is plainly how they are paid for.
A calm, step-by-step plan to replace a paper register with a digital ledger without losing a single balance.
Keep an udhaar ledger by giving every person one account, writing each credit or payment the moment it happens, and matching the cash in the drawer to the cash book every evening. Munshi, from DIGIT, does that job on the phone in English or Urdu, offline, and the balance updates itself. A WhatsApp reminder opens already written, and you press Send yourself.
Munshi and Apna Munshi are different products from different makers, even though Apna Munshi’s own site says its app is called Munshi inside. Munshi, published by DIGIT, is the free khata at munshi.com.pk, Play package pk.digit.munshikhata, listed on the App Store as Munshi Khata App. Apna Munshi is a brand of MGH at apnamunshi.com, with paid modules after a 15-day trial.
OkCredit and Munshi both track who owes the shop, and their prices work differently. Munshi, from DIGIT, is free to download, shows a few small ads, and keeps Urdu or English statements with reminders you send yourself. OkCredit’s own pricing page lists a free Basic plan with ads and paid plans from ₹30 to ₹99 for 30 days, and its Play listing is built around UPI and Indian languages.
Rupin, formerly Udhaar Book, and Munshi both record khata, and Rupin’s listing goes much further into payments. Munshi, from DIGIT, is a free udhaar, cash, bank and expense app with Urdu statements and reminders you send yourself. Rupin’s Play listing describes a business wallet, POS, inventory, invoices and payroll, and says the wallet sits under State Bank rules for electronic money.
Munshi and Khatabook both replace a paper credit register, and they are aimed at different countries. Munshi, made by DIGIT for Pakistan, keeps udhaar, cash, bank and expenses in Urdu or English and is free to download. Khatabook’s own listing presents an India app with GST bills, UPI collection, inventory and business loans, and the Play page says it contains ads.
Munshi and DigiKhata both keep a digital khata for Pakistani shops, and they are built for different jobs. Munshi, from DIGIT, is a free-to-download ledger for customer and supplier credit, cash, bank and expenses, with Urdu statements and reminders you send yourself. DigiKhata’s Play listing also describes invoices, stock with a barcode scanner, and a staff book.
Munshi and Easy Khata both record customer credit on a phone, and neither one is automatically the right shop app. Munshi, made by DIGIT, is a free-to-download khata with Urdu statements, a cash book and WhatsApp reminders you send yourself. Easy Khata, from Bazaar Technologies, describes itself as a free Pakistan udhaar book with SMS and WhatsApp reminders, PDF reports and Sindhi as well as Urdu.
The best khata app for a UK small business is one that works offline, runs in the language your staff and customers read, costs nothing for the basics, and lets you export records for your accountant. Munshi is a free Urdu and English khata with a currency setting for GBP. It records credit, cash and expenses, but it is not HMRC-recognised tax software.
The best free khata app for an Indian shop depends on whether you need UPI, GST bills and Indian languages. Check what “free” locks, offline entry, backup and exports. Munshi is a free khata built for Pakistan: you can set the currency to INR, but it has no UPI, GST or Indian-language screens, so Indian shops should weigh that honestly.
Munshi is a free khata for udhaar, cash and expenses in Urdu or English. OkCredit is an India-focused ledger with paid plans, UPI and GST bills. Vyapar is billing, inventory and GST software with a free trial and paid plans. For a small shop that mainly sells on credit, a khata is usually enough; for GST invoices and stock, look at OkCredit or Vyapar.
To digitize a paper khata book, pick one cut-off date, list every customer with their balance, enter or import those balances once, check the total against the paper, then run both books for a week before you stop using the notebook. The checking step is what stops balances being lost.
A khata is an account book: a page for each person that records what you gave them and what you got from them, so the balance is always clear. Each customer, supplier or helper has their own khata. It began on paper and now also lives in apps such as Munshi, in Urdu and English.
Munshi can keep a shop’s books in a currency other than the rupee. On the shop setup screen, and later in Shop settings, you type a currency code such as AED, SAR, GBP or USD in place of PKR. Amounts then show that code. Munshi, from DIGIT, does not convert currencies, and it is not a menu of exchange rates.
“Free” can mean a trial, a limited free plan, a free app paid for by ads, or free forever. Before you trust a free bookkeeping app with your records, check what is locked, how you can export your data, and what happens when you stop. Munshi is free with small ads and no subscription, but it is a khata, not full accounting software.
You can track who owes you money in a notebook, a spreadsheet, a khata app, invoicing software or a payments app. For a shop that sells on udhaar, a khata app is usually the best fit: one page per customer, a running balance, offline use and a statement you can send. Choose the tool you will actually update every day.
Urdu-speaking business owners in the US and elsewhere can find apps for bookkeeping, invoicing, messaging and stock, but few run properly in Urdu. Check four layers: the menus, right-to-left layout, Urdu data entry and the statements customers read. Munshi is a bilingual Urdu and English khata with a currency code such as USD, for informal credit, not a US tax or invoicing system.
QuickBooks is full accounting software, built around invoices, bank feeds and tax-ready reports, and it is a paid subscription. Munshi is a free khata app for udhaar, cash and expenses that works offline and in Urdu. A counter shop that mostly sells on credit usually needs the second; a business that invoices and files returns may need the first.
There is no single best khata app. Compare price, Urdu, reminders and offline use as the public pages state them, then test two or three with real customers. Munshi, Easy Khata and DigiKhata target Pakistan; Khatabook and OkCredit come from India.
A cash book is the simplest way to see where your daily money goes. Here is how to choose a cash book app and use it well.
A small distributor’s book has two directions at once: shopkeepers who owe you, and mills or companies you still have to pay. Munshi, from DIGIT, keeps both as accounts, customers on one side and suppliers on the other. It does not track cartons, invoices or barcodes.
Install, switch to Urdu, add your first customer and record your first entry, step by step on an Android phone.
Cash Book, expense, profit and loss and bank reports in the language you need, for your team, your accountant or your bank.
Your khata is your business. Here is how to keep a safe copy of it on your phone, in the cloud and in your own Google Drive.
Open Reports, choose the dates, open the Cash Book, Expense, Profit & Loss or Bank accounts report, and share it as a PDF or Excel file. Set the app to English first if your accountant prefers English.
We looked at anonymous, counted-only data from about 500 businesses that used Munshi in its first two months. Shops write their khata in the evening, most credit is small, notes matter, and a missing phone number is the biggest reason a reminder is never sent. No names, numbers or amounts of any customer were read.
Power cuts and weak signals are normal in Pakistan. Here is what “offline” should really mean, and a 5-minute test to prove it.
A small shop records a cost and a bank movement on the same day they happen: an expense in its category, and a deposit or withdrawal on the bank account. Munshi, from DIGIT, keeps those screens separate from the customer khata. It does not move the money for you, and it does not file a tax return.
A mobile shop runs on several kinds of credit at once: easy-load on account, phones sold on instalments, repairs paid on collection, and supplier credit from the market. Munshi keeps each one clear, in Urdu or English, free and offline. It does not track handset stock or IMEIs.
You can move to Munshi without retyping your khata. A DigiKhata PDF report or customers list imports directly, and any app’s Excel or CSV export imports too. Where no export exists, start with current balances. Here is the safe order of steps, and what to check before you stop using the old app.
Munshi works fully in Urdu and English, including right-to-left statements and PDFs. Easy Khata names Urdu on its Play listing. For DigiKhata, Khatabook and Rupin we could not confirm Urdu from their public pages, so test any app’s Urdu yourself before you rely on it.
Bangladeshi shopkeepers have several baki khata apps to choose from, most with Bangla built in. Munshi supports taka (BDT) and works offline for free, but it is in English and Urdu only, not Bangla. Here is what to check in any khata app and when Munshi is, and is not, the right choice.
Freelancers lose money to unpaid milestones and forgotten balances, not to bad work. A khata app gives every client an account, every invoice or advance an entry, and a polite reminder in one tap. Munshi does this for free, in rupees or dollars, in Urdu or English.
Close a small shop’s day in four moves: read the opening cash, record cash in, record cash out, and count the drawer once against Munshi’s Cash Book. Munshi, from DIGIT, keeps that running balance on the phone. It does not replace the count, and it does not file the khata for you.
A practical buyer’s guide: nine checks for any free khata app, including Android, Urdu and offline support, and how Munshi measures up.
Zakat on a business is usually worked out once a year on the same date: stock at its selling value, cash, bank balances and money customers are likely to pay, minus short-term debts you owe. This guide explains the common method in plain words and shows where your khata gives you the numbers. Ask a scholar you trust for your own situation.
How a traditional paper bahi khata compares with a mobile khata app, what you gain, what you give up, and how to compare free and paid apps fairly.
Desi grocery stores, halal butchers, restaurants and gas stations in the US often keep house accounts for regular customers on paper. Munshi records those tabs in USD, in Urdu or English, for free, with WhatsApp or SMS-free reminders. It is not bookkeeping or sales-tax software.
Generate a clean khata statement for any customer and any dates, in Urdu or English, and send it in seconds.
Pakistani-run baqalas and small shops in Riyadh, Jeddah, Dammam and Makkah run on monthly credit. Munshi keeps that credit in SAR, in Urdu or English, offline and free, with WhatsApp reminders on salary day. It does not replace ZATCA e-invoicing.
In Munshi you open Reminders, choose the person, and tap Send reminder. WhatsApp opens with the name, the shop and the amount already written. You read it and you press Send. Munshi, from DIGIT, does not send the message for you, and it does not send an SMS on its own.
If you run a grocery, cafeteria, mobile shop or trading business in Dubai, Sharjah or Abu Dhabi and still keep a paper khata, Munshi records customer credit in AED, in Urdu or English, without internet, for free. It is a credit ledger and cash book, not VAT or accounting software.
A medical store can keep credit customers and a daily cash book in Munshi, the khata app from DIGIT, the same way a shop keeps any other udhaar. The entry is a name, a date and an amount. It is not a diagnosis, a batch number or an expiry date, and Munshi does not give medical advice or track stock.
A digital bahi khata is the same credit register a shop already keeps, kept on a phone so each person has a balance. Munshi, from DIGIT, is that book: customer and supplier credit, a cash book, bank accounts and expenses, in English or Urdu. It does not manage stock, invoices or barcodes.
A kiryana day stays honest when the morning drawer is checked, counter udhaar is written before the customer leaves, and the evening cash count matches the cash book. Munshi, from DIGIT, keeps the people, the drawer and the expenses on one phone, in English or Urdu. It does not count packets on the shelf.
Ready-to-use udhaar reminder messages for Pakistani shopkeepers, plus the timing that gets you paid without losing the customer.
Sales are not profit. Here is the simple method to work out what your shop really earns, and how to read the report without an accountant.
Know where your money goes every day: a Cash Book, expense categories and a profit figure you can trust, in Urdu or English.
Typed the wrong amount, picked the wrong customer or deleted something by mistake? Every common slip has a quick fix.
Install Munshi, sign in with your phone number and the SMS code, choose Urdu or English, add your business and first customer, record an entry, then turn on App Lock and a backup. It takes about ten minutes.
When a customer says they do not remember, a calm, dated record does the talking. Here is how to settle it without losing the relationship.
An offline bookkeeping app saves each entry on your phone first and syncs later, so a power cut or weak signal never loses a sale. Check that entry, balances and reports work with airplane mode on, and know the few things that still need a connection.
Record the full price as You gave and each advance as You got, so the balance shows what is left to collect. Add the order number and delivery date in a note, and a photo of the design or measurements.
Record a customer’s payment as You got on their account with a note naming how they paid, then add the money to a Bank Book account named after your bank or wallet. Munshi does not connect to banks or wallets, so you enter these by hand.
Customers owe you. You owe suppliers. Here is how to keep both sides of udhaar in one app, so you never miss a payment.
A good WhatsApp payment reminder names the amount, sounds like service and gives one easy next step. Below are ready messages for a first reminder, a due date, an overdue balance, a part payment and a missed promise, and a one-tap way to send them.
A kiryana store runs on small, frequent credit. Record each udhaar at the counter, count the cash at closing, remind on a set day each week and keep a separate khata for suppliers.
Decide each customer’s limit and due date before you give credit, write it in the note, and say it kindly. Munshi does not block credit at a limit, so you track it through each customer’s balance.
Keep one page per customer with a date, an amount, what it was for and a running balance, update it the moment credit is given or paid, and look at the total every week. A khata app does the adding and the remembering.
Eight practical habits to collect payments, protect your cash flow and lose less to unpaid udhaar, written for dukandaars.
Ramzan and Eid bring the busiest weeks of the year, and the biggest udhaar. A plan for giving credit safely and collecting it afterwards.
A daily cash record has five lines: opening cash, cash in, cash out, closing cash and the difference from what you counted. Keep it on paper or in a cash book app, and close it every evening.
Three records, three questions. Learn which book answers which question, and how a small business uses all three.
Excel is fine for a short list you update at a desk. A khata app is better once you record credit at the counter, need reminders, work offline on a phone or share statements with customers.
Set up a digital khata for customer credit in an afternoon, and keep it accurate in a few seconds a day.
You don’t need accounting training. You need the same few habits, every day.
A digital khata book is the paper bahi khata on your phone: you record credit given and payments received for each person, and the app keeps the balance, shows totals and can send reminders and statements. Good ones work offline and in Urdu.
Pakistani shopkeepers already run on trust and the khata. The tools never caught up. This is why DIGIT built Munshi, and what a khata app has to get right here.
